TOHKDBC Withdrawal and Refund Policy

1. General Principles: As a non-profit organization, TOHKDBC utilizes registration fees to cover essential operational expenses, including regatta entry costs, pool and water practices, facility rentals, year-round training programs, and equipment upkeep. Given that the club fulfills substantial non-reimbursable financial obligations at the season's outset—such as significant deposits for practice venues and early-bird race registrations—fees are generally considered non-refundable following the confirmation of a paddler's roster spot. 2. Selection and Roster Review: • Non-Selection: If a paddler is not selected for a final team roster after the coaching staff's review, the full registration fee paid to date will be refunded. • Team Assignment: If a paddler is offered a spot on a team but chooses not to accept it, the general refund schedule below will apply. 3. Refund Schedule: • Before First Installment Deadline: Full Refund • After Installment 1 / Before Practice Starts: Partial Refund (Excluding Admin and Jersey Costs) • After Practice Starts: Non-Refundable • Medical/Injury Withdrawal: Case-by-case Review 4. Installments and Payment Deadlines: Installment 1 is due within 14 days after roster confirmation; Installment 2 is due by February 28. Failure to complete payments by deadlines may result in spot release. 5. Non-Refundable Items: Team Apparel and Third-Party Fees (e.g., RHCC, Afterburn, GWN, Alkame) are strictly non-refundable once processed. 6. Withdrawal Procedure: Paddlers must submit written notice via email to contact@tohkdbc.com (Signal/WhatsApp encouraged for direct notice but must be followed by email).
